Instead of starting with a platform, start with applications, data, users and what must continue to operate in each scenario.

Map workloads before choosing

Assess each workload separately: ERP, files, databases, websites, email, telephony and applications do not share the same needs. Consider latency, data volume, operating hours, licensing and technical dependencies.

Internet connection quality, alternate links and the ability to work when an external service or the local network fails are particularly important.

  • Required performance and latency.
  • Data volume and rate of change.
  • Access needs from different locations.
  • Regulatory, contractual and licensing requirements.

What each model provides

An on-premises server provides direct infrastructure control and can serve workloads with heavy local traffic. It also requires planning for power, cooling, hardware, backup and physical security.

Cloud provides flexibility and rapid resource provisioning, but requires control of recurring cost, identities, networking and provider dependency. A hybrid model combines both only when connections and responsibilities are clearly defined.

Total cost, not only purchase price

The comparison should include hardware, licences, energy, space, maintenance, bandwidth, backups, support and staff time. In cloud environments it should also include storage tiers, data transfer, snapshots and resources left running without being used.

A useful evaluation normally covers several years and includes growth and contraction scenarios.

  1. Record initial and recurring cost.
  2. Add backup, monitoring and management time.
  3. Model growth in resources and data.
  4. Allow for exit or migration cost.

The decision should remain reversible

Documentation, open formats, data exports and a tested migration plan reduce vendor lock-in. Applications need clear ownership and access should not depend on a single account.

The final architecture may be mixed: local files or applications, cloud email, off-site backup and web hosting on separate infrastructure. What matters is that they operate as one controlled system.
